📍 Region: Wilkes-Barre & Scranton, Pennsylvania (Appalachia Region)

🕒 Full Time Schedule: Monday–Friday | 8-hour shifts (8:00 AM–4:30 PM or 9:00 AM–5:00 PM EST, based on site needs)
🚗 Travel: Required — frequent travel between hospitals in the Appalachia region based on coverage needs

💼 What You’ll Do

The Area Lead plays a critical role in maintaining smooth operations and delivering high-quality patient health information services across multiple sites. This position is essential to maintaining contractual service levels and operational continuity across the region.

Key responsibilities include:

  • Provide on-site coverage across multiple hospital locations, adjusting schedules based on regional needs, call-offs, PTO coverage, and workflow corrections
  • Assist with onboarding new employees, supporting training sessions, and mentoring HIS staff
  • Act as a liaison between facility staff and company leadership, ensuring strong client relationships
  • Communicate site challenges, fluctuating volumes, staffing needs, and operational updates proactively
  • Support strategic initiatives aimed at improving productivity, workflows, and service quality
  • Oversee daily medical record operations to ensure accuracy, HIPAA compliance, and timely delivery of information
  • Serve as a key resource for complex, urgent, or escalated requests

Operational Responsibilities Include:

  • Process medical record and ROI requests accurately, timely, and with strict confidentiality
  • Manage high-volume inbound and outbound calls from patients, providers, and requestors
  • Provide status updates, resolve inquiries, and escalate complex issues when appropriate
  • Handle fax and mail operations, including sorting, routing, sending, and maintaining accurate logs
  • Review requests, date-stamp documents, and upload information into HealthSource
  • Monitor queues (HealthSource), shared drives, fax queues, and medical records email to ensure timely processing
  • Scan documentation and update EMRs accurately
    Create encrypted CDs/DVDs of patient records, maintain chain-of-custody documentation, and ensure correct labeling
  • Assist walk-in patients requesting records by verifying identity and processing disclosures
  • Monitor and complete patient transfers throughout the day
  • Perform high-level data entry and support quality assurance processes
  • Manage inventory and supplies to ensure uninterrupted workflow
  • Maintain working knowledge of facility software systems and site-specific workflows
  • Support productivity standards and help minimize operational risk across the region
  • Ensure adherence to HIPAA and privacy regulations at all times
  • Uphold company and customer codes of conduct

What We’re Looking For

We are seeking a candidate who is:

  • Friendly, professional, and dependable
  • Punctual — attendance is critical in this role
  • Adaptable and comfortable with frequent travel and schedule adjustments
  • A strong communicator (verbal and written)
  • Organized and able to manage multiple priorities effectively
  • Eager to learn and able to master new systems and processes quickly
  • Experienced in leading or supporting a small team (strongly preferred)
  • Motivated to grow within a healthcare or medical records environment
  • Experienced with ROI and EMR systems (required)

🎓 Requirements

  • High School Diploma or GED
  • Willingness and ability to travel frequently within the Appalachia region
  • Proficiency with computers, email systems, EMRs, and general office equipment
  • Ability to maintain strict confidentiality and adhere to HIPAA regulations
  • Prior healthcare, medical office, HIM, or ROI experience required
  • Supervisory or lead experience strongly preferred

🎓 Training & Onboarding

  • Datavant DHISC training
    • Hands-on, role-specific training during the first 30 days
